This Privacy Policy explains how Error 24 Pty Ltd collects, uses, shares, and protects personal information through Stagely.
Stagely is designed for youth and community theatre, including account holders aged 12 and above. We have written this policy so that younger users can understand it too.
Where the Privacy Act 1988 and the Australian Privacy Principles apply to us, we comply with them. We also use those principles as a guide for handling personal information throughout Stagely.
Who this policy covers
This policy covers information about:
- people with Stagely accounts;
- cast, crew, volunteers, and other people added to a production without an account;
- parents, guardians, teachers, and other Noticeboard visitors;
- people who contact us for support or provide feedback; and
- visitors to the Stagely website.
What we collect
The information we collect depends on how you use Stagely.
Account information
When you create or use an account, we may collect:
- your name;
- your email address;
- authentication information, including a protected version of your password;
- your age or age range where needed to manage younger accounts;
- your company and production memberships;
- your production roles;
- profile information you choose to provide; and
- your account preferences.
We do not store your password in readable form.
Production information
People using Stagely may add:
- theatre companies and productions;
- cast, crew, creative team, and volunteer records;
- roles and character assignments;
- rehearsals, calls, performances, and other dates;
- availability and attendance;
- announcements and production notes;
- files, links, videos, and other resources; and
- information about who created or changed a record.
Some of this information may be about people who do not have Stagely accounts.
Technical information
When you use Stagely, we may automatically collect technical information needed to operate and secure it, such as:
- your IP address;
- device type and operating system;
- browser or app version;
- device or session identifiers;
- push-notification tokens;
- login and security records;
- basic usage records; and
- diagnostic information and crash reports.
We use this information to keep Stagely working, investigate problems, and protect accounts.
Messages and feedback
If you contact us, we collect the information in your message and any details needed to answer or investigate it.
Sensitive information
Health information and some other personal details are treated as sensitive information under Australian privacy law.
Stagely is not designed to be a medical-record or safeguarding system. Please do not put medical conditions, diagnoses, medication details, counselling information, allegations, or other highly sensitive information into general notes or free-text fields.
If sensitive information genuinely needs to be recorded, the person entering it must make sure that:
- it is reasonably necessary;
- the person concerned, or their parent or guardian where appropriate, has agreed;
- the theatre company is authorised to collect it; and
- Stagely is an appropriate place to keep it.
We may remove sensitive information where we reasonably believe it should not have been entered.
How we collect information
We collect information:
- directly from you when you create an account, use Stagely, or contact us;
- from a theatre company or production organiser who adds you to a roster or invites you to a production;
- from a parent or guardian helping a young person create or manage an account;
- automatically when you use the app or website; and
- from service providers that help us deliver and secure Stagely.
If an organiser adds information about someone else, the organiser must be authorised to do so and must take reasonable steps to make that person, or their parent or guardian where appropriate, aware of Stagely and this policy.
Why we use information
We use personal information to:
- create and protect accounts;
- manage theatre companies and productions;
- provide schedules, rehearsal calls, rosters, availability, attendance, announcements, and resources;
- send invitations and important service messages;
- deliver notifications requested by users;
- provide and protect the Noticeboard;
- answer questions and provide support;
- investigate errors, misuse, and security incidents;
- understand how Stagely is working and improve it during the beta;
- enforce our Terms of Use; and
- meet legal obligations.
Where practical, we use information that has been combined or stripped of identifying details when analysing how Stagely is used.
We do not sell personal information.
We do not use private production information for unrelated advertising.
Who can see information inside Stagely
What someone can see depends on their production membership, role, and permissions.
Authorised organisers may be able to see and manage:
- the production roster;
- roles and character assignments;
- schedules and rehearsal calls;
- availability and attendance;
- announcements; and
- production resources.
Other production members may see the information made available to their role.
Theatre companies are responsible for choosing appropriate administrators and managing who has access to each production.
If anything appears to be visible to the wrong person, contact us promptly.
The Noticeboard
The Noticeboard is a view-only web page protected by a show code.
Anyone with the code may be able to view the schedule and announcements published to that Noticeboard. The code should therefore be shared only with people who should have access.
The Noticeboard is not intended to display the full production roster, contact details, or attendance records.
However, an announcement or schedule entry may include a person’s name, role, location, or other information entered by the production team. Organisers should write Noticeboard content with its wider audience in mind.
Noticeboard visitors cannot comment, reply, or edit production information.
Service providers
We use other companies to help us provide Stagely. They may provide services such as:
- cloud hosting and data storage;
- email delivery;
- push notifications;
- app distribution;
- error monitoring and diagnostics;
- security and abuse prevention; and
- customer support.
These providers may process personal information only as needed to perform services for us or as required by law.
Some information may be processed outside Australia, including in the United States. Where Australian privacy law applies, we take reasonable steps to make sure overseas handling remains appropriately protected.
Other disclosures
We may also disclose personal information:
- when you ask us to or give us permission;
- when reasonably necessary to prevent a serious security, safety, or legal problem;
- when required or authorised by law;
- to professional advisers where confidentiality applies; or
- as part of a sale, restructure, or transfer of Error 24 or Stagely.
If ownership of Stagely changes, personal information will remain subject to this policy unless users are told otherwise.
How we protect information
We use reasonable technical and organisational safeguards to protect personal information from loss, misuse, interference, and unauthorised access, change, or disclosure.
These safeguards include access controls, protected authentication information, encrypted network connections, backups, monitoring, and limits on who can access production data.
No online service can promise perfect security. Users and organisers also need to protect their accounts, devices, invitations, and Noticeboard codes.
If a data breach is likely to cause serious harm, we will notify affected people and the relevant authorities where required by law.
How long we keep information
We keep personal information only for as long as it is reasonably needed to:
- provide Stagely;
- maintain legitimate production records;
- protect users and investigate security incidents;
- resolve disputes;
- maintain limited backups; or
- meet legal obligations.
Closing an account does not automatically delete every shared production record.
For example, a theatre company may still need a schedule, announcement, attendance record, or record of who participated in a production. Content contributed to a shared production may therefore remain after an individual account is closed.
When information is no longer reasonably needed, we delete it or remove identifying details. Copies may remain temporarily in backups until those backups are replaced through their normal cycle.
Younger users
You must be at least 12 years old to have a Stagely account.
If you are aged 12 to 15, a parent or guardian must give permission and accept the Terms of Use on your behalf.
If you are aged 16 or 17, you must have permission from a parent or guardian. You may accept the Terms yourself if you understand them.
Children under 12 cannot have their own accounts, but an authorised organiser may include them in a production roster when the organiser has appropriate permission.
We try to collect only the information reasonably needed to include younger people in a production. We do not want theatre companies to enter unnecessary personal or sensitive details about them.
Young people can contact us about their own information. Parents and guardians can also contact us, although we may need to confirm their identity and authority.
When responding to a request involving a young person, we may consider the young person’s age, understanding, wishes, safety, and privacy.
Accessing or correcting information
You can ask us for access to personal information we hold about you or ask us to correct something that is inaccurate, out of date, incomplete, irrelevant, or misleading.
You can also ask us to delete information or close an account.
Email privacy@error24.com.au and explain what you need. We may ask for information to confirm your identity or your authority to act for a young person.
In some circumstances, we may be unable to provide or delete particular information. This may happen where:
- it would reveal another person’s information;
- a theatre company still reasonably needs a shared production record;
- deleting it would create a safety or security problem; or
- we are legally required or authorised to keep it.
If we cannot complete a request, we will explain why where the law allows.
Privacy complaints
If you believe we have handled personal information incorrectly, email privacy@error24.com.au.
Please explain what happened and what you would like us to do. We will:
- acknowledge the complaint;
- investigate it fairly;
- ask for any information we reasonably need; and
- respond within a reasonable time, usually within 30 days.
If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Emails and notifications
We may send service messages needed to operate Stagely, including invitations, security alerts, production notifications, and important changes to the service.
If we send optional product news or marketing, you can unsubscribe from those messages. Unsubscribing from marketing will not prevent essential account, security, or production messages.
Changes to this policy
We may update this policy when Stagely, our service providers, or the law changes.
If a change materially affects how we handle personal information, we will provide reasonable notice through the app, by email, or both.
The latest version will always show its update date at the top.
